Operations Manager

OPERATIONS MANAGER

The Operations Manager is responsible for the logistical planning and event operations for conference events, including, but not limited to site selection, contract negotiations, on-site logistics, and post-conference wrap-up. The position reports to the Director of Event Operations. 

Responsibilities 

  • Work closely with the Division Manager to determine the correct city and venue and scope of each conference 
  • Manages Requests for Proposal from hotels, RFP analysis and recommendations for venues 
  • Responsible for site inspections and site selection, contract negotiation and hotel relationship management 
  • Handles pre-planning and budgeting for conference 
  • Responsible for budget forecasts and analysis 
  • Negotiates for any variances in the contract (i.e., attrition clauses or cancellation and re-booking with hotels) 
  • Attends regular pre-event meetings with conference team to discuss on-site logistics 
  • Attends conference and manages on-site logistics 
  • Responsible for all post-event bill reconciliation and budget reports 
  • Handles all negotiations with related vendors (AV, security, signage and services) 
  • Conference debrief meeting and reports 
  • This position is supervised by the Director of Event Operations and is largely autonomous on more small and mid-sized events

Qualifications 

  • Four year college degree, 4-5 years meeting planning experience, preferably in corporate or association events. Ability to travel 25-30% of time 
  • Ability to work in a deadline-driven, fast-paced environment.  
  • Excellent written and verbal communication skills. 
  • Ability to work effectively and manage up with high level executives. 
  • Detail-oriented multi-tasker with excellent organizational skills. 
  • Work in a team environment, pro-active, relationship building customer service focused, take charge problem solver with outgoing personality. 
  • Ability to effectively create and manage expense budgets for the venue and related sales support costs for each meeting.

Accounts Payable Specialist (6 Months)

The demands of this role will involve the timely and accurate processing and payment of invoices and expenses to suppliers and colleagues and assisting with their enquiries and queries.

This role requires excellent communication skills, meticulous attention to detail and high levels of accuracy. You will also need to interface with other internal SSC teams.

You must ensure that all company policies are adhered to and that specific duties are carried out within set time limits whilst providing an excellent level of service to all Informa customers and colleagues.

KEY RESPONSIBILITIES
The Accounts Payable Specialist is expected to assume the following key responsibilities plus any other reasonable duties as required:

Payments
• Responsible for generating payment runs (scheduled and urgent)
• Ensure all payment runs are signed off by authorised signatories and that treasury have been advised of payment amounts prior to runs
• Resolve payment rejection queries
• Write off unpresented cheques
• General purchase ledger maintenance and reporting
• Provide exceptional customer service to internal and external customers at all times
• General administration duties

Invoice & Query
• Uploading & processing of invoices/payment request forms
• General purchase ledger maintenance and reporting
• Debit balance dispute resolution
• Maintenance and matching for PO Orders
• Managing exceptions on PO orders
• Manage the business rules in VIM for PO and Non PO invoices
• Handling and resolution of invoice queries
• Provide exceptional customer service to internal and external customers at all times
• General administration duties

Travel & Expenses
• Process non-automated colleague’s expenses into SAP
• Monitor and chase submission of corporate card expense claims where appropriate
• Ensuring that any regional legislative analysis is completed and timely
• Validation and review of coding of automated expenses
• Ordering of colleagues Currency Advances and reconciliation of related expenses.
• Dealing with all employee/business expense queries
• Provide exceptional customer service to internal customers at all times
• General administration duties
